Admission conditions
The application must be done with the forms provided by the organization. They have to be filled in thoroughly. Only signed requests that are sent in together with the payment confirmation will be taken into consideration. The inscription on line applies to official request for registration at the Ironman Expo. Once we received and accepted your submission we will send you the invoice. This invoice is the definitive confirmation of your reservation. The organizer of the IRONMAN France-Nice Triathlon and the Ironman Expo reserves the right to refuse any application at his discretion. The exhibitor will be authorized to take possession of his stand and to participate in the event only if the entirety of the balance owed to the organization is paid in advance. Otherwise the organization reserves the right to refuse the access to the expo.
Exhibitors acknowledge that the IRONMAN® and M-Dot® are registered trademarks protected by copyright and their use in any form requires the express consent of the proprietor. No unauthorised IRONMAN® or M-Dot® material or merchandise may be sold, distributed or handed out to visitors. Official IRONMAN® merchandise goods may only be distributed by the organisers of the IRONMAN French Expo. In the event of infringement, exhibiters will be charged with a penalty of EUR 2,500.00 per violation, without prejudice to the rights conferred upon the organisers by law, contract or other provisions.
Cancellation
If for any reason, the exhibitor cancels his participation, he will have to do so by sending a registered mail. Conditions of cancellation:
Cancellation before 6 May 2013: no cancellation fee.
Cancellation between 7 May and 3 June 2013: 50 % cancellation fee.
Cancellation: after 4 June 2013: 100% cancellation fee
If the exhibitor does not advertise his cancellation prior to the event and does not occupy his stand until the opening of the expo, the cancellation fee of 100% shall apply.
VAT
All companies, including public authorities are subjected to the VAT and will be invoiced the price include VAT.
Assemblage of stands
Stands have to be prepared on Wednesday, 19th June 2013 between 02.00 pm and 07.00 pm.
It is understood that installations or external superstructures built up by the exhibitor on or in front of his stand must not harm under no circumstances the neighbouring stands, the general decoration of the expo nor hinder the open spaces reserved for the security. Stands will have to be opened before opening of the expo to the public and will be closed only after the public closing time. The organizer establishing the layouts for the event setups and performing the installation of the modules of the expo, explicitly reserves the right to change the position of any stand (respecting the value of every placement) at his discretion. The exhibitor has to claim any damages or derogations immediately when taking over the stand. The exhibitor commits to respect any provided material. If he causes damages, he will be invoiced the repairing. The exhibitor is required to assure the cleaning of his stand.
Security service
The exhibitors commit to permanently have a representative at their stand and to be particularly precautious during the stages of assembling and disassembling. It is the exhibitor’s sole responsibility to take care of his material during expo opening hours as well as during assembling and disassembling. He will always be present from opening to closing of the expo. During the night, from closing hour to opening hour there is a security service.
Insurance
Every exhibitor has to be covered by an individual third-party insurance, the confirmation of which has to be sent in annex to the reservation form.
Further, we recommend assuring the material you wish to expose. The organizer declines any responsibility for damage or loss as well as for theft or disappearing of equipment belonging to the exhibitor. If for a reason of force majeure the event does not take place, the exhibitor affirms not to claim any indemnification or compensations. The exhibitor commits to refrain from claiming any compensation from the organizers or third parties.
Damage
The exhibitor will be held responsible for damage caused to the ground and to buildings. Damages will be invoiced at the end of the appraisal which will be addressed at closing of the expo.
Security
The exhibitor is required to acquaint and to respect any safety measures imposed by authorities, by administration, by the site and those imposed by the organizer. Also, the exhibitor is required to respect scrupulously the demands of the internal event organisation as well as of the police and any other authority in competence.
Access to the village
Exhibitor-badges give access to the village 30min before opening to the public (60min on Thursday)
Sanctions
Any offence of these regulations might result in immediate temporary or definitive exclusion without any refunds.
